Student Staff - Union Receptionist

Details

Salary: £12.75 per hour
Contract: Casual / zero-hours student staff
Hours of Work: Usually three shifts per week (2.5 hours each, Monday, Wednesday and Friday afternoon approx 8 hours per week), depending on the needs of the service.

Please note: If you work in more than one role within the Union, you must not work more than 20 hours per week across all Union departments.

The Union of Brunel Students is recruiting casual student staff to join our Reception team.

Reception is often the first place students, staff and visitors come to when they need help, so you’ll play an important role in creating a friendly and welcoming experience.

You’ll be the first point of contact for enquiries, helping students find the right information or member of staff. You’ll also support the Union shop and other day-to-day Reception tasks, giving you valuable experience in customer service, administration and working in a busy student-facing environment.

We’re looking for students who are friendly, approachable and organised, who can communicate confidently and are happy to get stuck in when things get busy.

You don't need previous reception, retail or office experience to apply. We’re interested in your skills, attitude and willingness to learn.

Job Description 

Responsible to: Activities, Shop and Reception Coordinator

JOB FUNCTION

As a member of the Reception team, you will be one of the first points of contact for students, University staff and visitors coming into the Union.

You will provide a friendly and helpful service, answering questions where possible and directing people to the right service or member of staff when needed.

You will also support the Union shop, process payments and help with the day-to-day running of the Reception area.

Most importantly, you will help create a welcoming experience for students and represent the Union in a positive and professional way.

DUTIES

1. Reception and customer service

  1. Act as a first point of contact for students, University staff and external visitors to the Students’ Union.

  2. Welcome visitors and provide a friendly, helpful and professional service.

  3. Answer questions and enquiries, providing information where possible and referring people to the appropriate member of staff or service when needed.

  4. Provide directions and information about Union services, activities and events.

  5. Answer the Reception telephone and respond to voicemails.

  6. Respond to Reception email enquiries, dealing with straightforward questions and passing queries on where appropriate.

  7. Support students and club and society committee members with enquiries, following guidance from the relevant Union staff.

  8. Complete Student Activities administration in line with department processes.

  9. Deal with queries professionally and appropriately, including knowing when to ask a member of staff for support.

2. Shop and administration

  1. Process cash and card payments for Union products, memberships, tickets and other purchases.

  2. Complete cashing-up and related records accurately when working a closing shift.

  3. Keep the Reception and shop areas clean, tidy and well presented.

  4. Monitor and replenish Union merchandise and other products.

  5. Receive, record and distribute post and deliveries.

  6. Complete routine administrative tasks as required.

3. General

  1. Maintain a high and consistent standard of customer service.

  2. Work within Union policies, procedures and codes of practice.

  3. Maintain confidentiality and handle information appropriately.

  4. Follow relevant health and safety policies and procedures.

  5. Help maintain an inclusive and welcoming environment for all students, staff and visitors.

  6. Take a proactive approach to your work and support the wider team when needed.

  7. Report any conflicts of interest or concerns to your line manager.

  8. Undertake other reasonable duties that fit within the general nature of the role.

Student Staff – Reception – Person Specification

Essential

  • Friendly, approachable and comfortable speaking to a wide range of people.

  • Good communication and interpersonal skills.

  • Able to provide a helpful and professional customer service.

  • Good spoken and written English.

  • Comfortable using computers and learning new systems.

  • Organised and able to manage more than one task at a time.

  • Able to stay calm and helpful when Reception is busy.

  • Reliable and able to follow procedures and instructions.

  • Proactive attitude and willingness to get involved.

  • Flexible approach to working different shifts.

  • An interest in the Union and what we offer to students.

Desirable

  • Previous experience in a customer-facing, reception, retail or administrative role.

  • Experience handling cash or card payments.

  • Knowledge of Union services, clubs and societies.

Previous work experience is not essential. We’re interested in your skills, attitude and willingness to learn.
